The position is responsible for providing database management and client support as a member of the Mine Training Society staff in accordance with the Policy and Procedures Manual.


This position reports to the General Manager, Mine Training Society. The incumbent ensures:

  1. Data transfer from paper format into computer files and database systems using keyboard and computer
  2. Data is input provided directly from clients
  3. Creation of spreadsheets without mistakes
  4. Verification of data by comparing it to source documents
  5. Updating existing data by direct client contact
  6. Prepare monthly, quarterly and annual reports from the data base system
  7. Sorting and organizing paperwork after entering data to ensure it is not lost
  8. Support to clients in preparing for Records Suspension process, including, but not limited to:
    • Meeting with clients
    • Working with client to complete required paperwork for Record Suspension applications
    • Conduct required searches
    • Liaise with Parole Board of Canada, Courts and Police Forces

The incumbent has regular contact with the public, and Mine Training Society staff. The incumbent will be working with information of a confidential nature.


  1. Provide database administration services to ensure an efficient operation in accordance with the agreements with the Government of Canada and the MTS Policies and Procedures;
    • Be the primary contact with the Accounts Result Management System for the MTS and Goss Gilroy
    • Ensure complete requirements for entering client data and client contacts are finished in a timely manner
    • Prepare monthly, quarterly and annual reports as directed by the General
  2. Manages Record Suspension Applications
    • Meet and counsel Record Suspension clients on their eligibility for application
    • Prepare appropriate documentation as required by the Parole Board of Canada to application completion
    • Follow up with clients on progress of document completion
    • Liaise with the Parole Board, Courts and Police Forces
    • Provide monthly report on progress or challenges to the General Manager


  • Proven computer skills including a working knowledge of spreadsheet applications, word processing and communications software
  • Proven interpersonal skills and ability to communicate effectively both orally and in writing with staff and management
  • Time management and organization skills are required to maintain and produce accurate reports and complete tasks in a timely manner
  • Ability to follow tasks to completion with minimum supervision


Typically, the above qualifications would be attained by a High School Diploma and two years of administrative assistant’s work in Government or Not-for-Profit organizations.
